OACP – Level 3

The third level of the CBE Office Administration Program will provide students with additional business administration capabilities in financial management, proper communication, and computer applications, in addition to, creating effective workplace relationships. Students are required to complete 5 courses with two elective courses. A student will be awarded Level III of the Office Administration Program upon receiving credit for all Level I, II, and III courses. Upon successfully completing Levels I, II, and III, an office administrative professional is more prepared to work successfully as a junior level Secretary at the Calgary Board of Education. General Information About OACP Levels

Each level is comprised of courses to support your career pathway as an office administrative professional at the Calgary Board of Education. An additional number of recommended courses have also been identified to supplement your understanding and knowledge and enhance your learning experience and success.

Students are able to register in and complete courses in any of the levels, assuming that prerequisites are met. However, a certificate of completion for a level will not be granted until a student has completed all required courses identified for that level and have been successfully awarded the previous level.

Position Description


  • Prepares general correspondence, reports and other related documents as required. Accurately transcribes notes and meeting minutes acting as recorder when required. May arrange meetings, conference rooms, catering, travel arrangements as well as conference registrations.
  • Serves as the first point of contact for the department. Receives callers in person and over the phone. Prioritizes and assesses the nature of the call and determines the appropriate action. Provides advice or pertinent information and responds to the situation with the caller. Initiates contact with other appropriate resources and personnel as required.
  • Accurately enters data and maintains spreadsheet and data base applications. Compiles information into reports as required. Modifies spreadsheets and databases as necessary and conducts preliminary analysis.
  • Receives, screens for completeness, and processes all documentation and creates and maintains all related corresponding hard copy and/or electronic files. Requests additional documentation from appropriate sources where required. Processes requests for records according to established procedures
  • Distributes print material and electronic messages to designated staff and authorized external contacts as per established policies and procedures. Collates appropriate copies for select committees and for related meetings as well as approved distribution group lists.
  • Conducts research and data compilation for the purpose of preparing reports, surveys, projects, documentation for internal and external stakeholders.
  • Receives, screens and processes all incoming correspondence, both electronic and hard copy mail. Determine priorities, initiates appropriate actions, provides direct response if appropriate or refers to appropriate sources.
  • Ensures that financial and other related records are kept current and accurate. Processes, prepares, verifies, implements, and/or reconciles financial documents, reports, procedures or forecasts. Meets with appropriate individuals to discuss any matters requiring further attention.
  • Maintains and orders office supplies, stationery and forms and the maintenance of office equipment. Researches product options, prices, availability and supplies. Liaises with Purchasing and monitors and reconciles orders against deliveries.
  • Accurately maintains and processes staff records which may include absence records, leave requests, timesheets and vacation schedules for the department according to established corporate procedures. Communicates with appropriate internal and external stakeholders regarding approval and subsequent notification processes.
  • Provides assistance to the department, volunteers and/or other administrative staff relating to computer applications and office procedures/equipment as needed.
  • Performs other related responsibilities as required.


Education and Experience

  • High school completion
  • A recognized post-secondary Office Assistant Certificate or its equivalent
  • Two years progressively more responsible related experience in an office environment
  • The completion of a recognized post-secondary Administrative Information Management Diploma or its equivalent with one year of progressively more responsible related experience in an office environment will also be considered
  • Other equivalent combinations of directly related post-secondary education and directly related experience may be considered

Demonstrated Skills and Competencies

  • Knowledge of basic bookkeeping, accounting and office/records management
  • Proficiency in office computer applications such as word processing, spreadsheet, computerized accounting, publishing and presentation applications, electronic mail/calendar applications and other information management tools
  • Strong data entry skills and accurate keyboarding of 55 w.p.m.
  • Strong customer service orientation
  • Very good time management, prioritization, multitasking and organizational skills
  • Very good ability to adapt and manage change
